Oral Surgery Office Manager

Job Description

The Oral Surgery Office Manager is responsible for overseeing the daily operations of a fast-paced oral surgery practice while ensuring exceptional patient care, operational efficiency, financial performance, and team development. This position requires a proactive leader who can motivate staff, maintain a positive workplace culture, and ensure the practice operates at the highest standards of professionalism and patient satisfaction.

Primary Responsibilities

  • Oversee the daily operations of the oral surgery practice.
  • Supervise, coach, and support front office and clinical staff.
  • Ensure exceptional customer service throughout the patient experience.
  • Manage daily schedules to maximize provider productivity and minimize downtime.
  • Coordinate patient flow for consultations, surgeries, and post-operative appointments.
  • Monitor office efficiency and implement workflow improvements.
  • Conduct daily morning huddles and regular team meetings.
  • Recruit, interview, onboard, and train new employees.
  • Perform employee performance evaluations and provide ongoing coaching.
  • Address employee concerns professionally and promote a positive team culture.
  • Ensure compliance with OSHA, HIPAA, infection control, and state dental regulations.
  • Maintain office policies, procedures, and employee accountability.
  • Monitor office appearance, cleanliness, and organization.
  • Manage office inventory and order supplies as needed.
  • Coordinate equipment maintenance and vendor relationships.
  • Oversee patient satisfaction initiatives and promptly resolve complaints.
  • Track and improve online reputation and patient reviews.
  • Develop and implement patient retention strategies.
  • Assist with marketing initiatives and community outreach.
  • Generate daily, weekly, and monthly management reports.
  • Monitor key performance indicators (KPIs) and practice goals.
  • Collaborate with ownership to improve profitability and operational excellence.

Financial & Administrative Responsibilities

  • Oversee insurance verification and treatment estimates.
  • Ensure accurate billing, insurance claims, and collections.
  • Monitor accounts receivable and outstanding patient balances.
  • Review daily production and collections reports.
  • Reconcile deposits and financial reports.
  • Monitor payroll and employee timekeeping.
  • Assist with budgeting and expense management.
  • Maintain confidentiality of financial and patient information.

Required Qualifications

  • Minimum 3–5 years of dental or oral surgery office management experience preferred.
  • Minimum 5 years of experience working in a dental or oral surgery practice.
  • Fluent in both English and Spanish (required).
  • Strong knowledge of dental and oral surgery terminology and procedures.
  • Experience with dental practice management software (Dentrix, Open Dental, Eaglesoft, or similar).
  • Knowledge of PPO, Medicare (where applicable), and oral surgery insurance billing.
  • Strong understanding of treatment planning and financial arrangements.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office (Word, Excel, Outlook) and Google Workspace.
  • Experience preparing reports and analyzing practice performance metrics.
  • Ability to maintain strict confidentiality and HIPAA compliance.
  • High school diploma or GED required; associate's or bachelor's degree in business, healthcare administration, or a related field preferred.
