Dental Insurance Coordinator Englewood Dentistry | Englewood, NJ Englewood Dentistry is looking for an experienced, organized, and detail-oriented Dental Insurance Coordinator to join our growing dental team. We are looking for someone who understands dental insurance, takes ownership of outstanding claims and patient accounts, and is comfortable communicating with insurance companies and patients to make sure claims are processed accurately and payments are collected in a timely manner. Position Overview The Dental Insurance Coordinator is responsible for managing the insurance side of our practice, from verifying benefits before appointments to submitting claims, following up on outstanding insurance balances, posting payments, and resolving denials. This position plays an important role in maintaining healthy collections and making sure patients understand their insurance coverage and financial responsibility. The ideal candidate is proactive and does not simply wait for insurance companies to respond. You should be comfortable following up consistently on unpaid claims, researching problems, correcting claim issues, and working toward resolution. Responsibilities Verify dental insurance eligibility and benefits before patient appointments Obtain detailed insurance breakdowns, including: Deductibles Annual maximums Remaining benefits Coverage percentages Frequency limitations Waiting periods Missing tooth clauses Age limitations Downgrades and alternate benefits Enter and maintain accurate insurance information in patient records Communicate insurance information with the Patient Coordinator and clinical team before appointments Submit dental insurance claims accurately and promptly Ensure claims include all required documentation, narratives, X-rays, periodontal charting, and other attachments Submit pre-authorizations and pre-treatment estimates when necessary Follow up consistently on outstanding and unpaid insurance claims Work insurance aging reports and prevent claims from becoming unnecessarily overdue Research and resolve denied, rejected, delayed, or underpaid claims Correct and resubmit claims when needed Contact insurance companies regarding claim status, eligibility, benefits, and payment discrepancies Review Explanation of Benefits (EOBs) for accuracy Post insurance payments and adjustments accurately Identify incorrect insurance payments, denials, downgrades, and contractual adjustments Review outstanding insurance balances and take appropriate follow-up action Assist with coordination of benefits when patients have multiple insurance plans Help patients understand their insurance benefits and estimated out-of-pocket responsibilities Communicate professionally with patients regarding insurance-related balances or questions Assist with patient billing and account reconciliation when necessary Maintain organized documentation of insurance calls, claim follow-ups, and correspondence Monitor insurance-related accounts receivable and help improve overall collections Stay current with dental insurance policies, PPO requirements, claim procedures, and payer guidelines Support the front-office team with other administrative responsibilities as needed Qualifications Minimum 1 year of dental insurance or dental billing experience required Strong knowledge of dental insurance terminology, benefits, claims, and EOBs Experience verifying PPO dental insurance benefits Experience submitting and following up on dental claims Comfortable handling insurance denials, rejections, and outstanding claims Understanding of dental procedure codes and common dental terminology Strong attention to detail and accuracy Excellent verbal and written communication skills Strong organizational and multitasking skills Comfortable speaking with insurance representatives and patients Able to independently follow up on outstanding issues until they are resolved Reliable, punctual, and accountable Experience with dental practice-management software preferred Dentrix experience strongly preferred Experience with insurance portals and electronic claims is preferred Bilingual English/Spanish is a plus Schedule This position follows our regular office schedule: Monday: 10:00 AM â 6:00 PM Tuesday: 9:00 AM â 5:00 PM Wednesday: 10:00 AM â 6:00 PM Thursday: 9:00 AM â 5:00 PM Friday: Closed Saturday: 9:00 AM â 3:00 PM, every other Saturday Sunday: Closed Applicants must be available to work the full weekday schedule (MondayâThursday) and alternating Saturdays. What Weâre Looking For We are looking for someone who takes ownership of the insurance process . The ideal candidate does not simply submit a claim and wait. You should be comfortable monitoring outstanding claims, contacting insurance companies, investigating denials and underpayments, correcting issues, and following through until the account is resolved.
