Dental Office Manager

 

The Valley Dentistry | Full-Time

 

The Valley Dentistry is seeking an experienced, organized, and personable Dental Office Manager to lead our front-office operations and help deliver an exceptional experience for every patient.

 

We are a privately owned, family-oriented dental practice—not a corporate dental chain. Our office combines personalized, relationship-based care with modern dental technology to provide efficient, high-quality treatment in a comfortable environment. We are looking for a leader who takes ownership, communicates confidently and compassionately with patients, understands the business side of dentistry, and keeps the office running efficiently. The ideal candidate has extensive dental front-office experience and is comfortable managing scheduling, insurance, treatment presentation, financial arrangements, patient relations, and daily office operations.

 

Key Responsibilities

 

Patient Experience and Relationships

 

  • Create a welcoming, professional experience from the patient’s first phone call through the completion of treatment
  • Build lasting relationships with patients and provide attentive, personalized service
  • Help anxious or hesitant patients feel comfortable, heard, and well cared for
  • Address questions, concerns, and complaints professionally and proactively
  • Follow up regarding treatment, scheduling, financial arrangements, and outstanding needs
  • Maintain the warm, patient-centered atmosphere of a private family dental practice

 

Treatment Planning and Case Presentation

 

  • Review treatment plans clearly, confidently, and compassionately
  • Explain recommended care in language patients can easily understand
  • Present treatment fees, insurance estimates, and anticipated patient responsibility
  • Discuss financing and payment options when appropriate
  • Help patients understand the value and importance of completing recommended treatment
  • Follow up consistently on unscheduled treatment to improve case acceptance
  • Coordinate comprehensive, implant, same-day, and multi-visit treatment plans
  • Work closely with the doctors and clinical team to create a smooth treatment experience

 

Insurance and Financial Coordination

 

  • Verify dental insurance eligibility and benefits accurately
  • Understand deductibles, annual maximums, frequencies, limitations, downgrades, waiting periods, and common exclusions
  • Provide clear and accurate insurance estimates while helping patients understand that benefits are not guarantees of payment
  • Submit and follow up on insurance claims when necessary
  • Monitor outstanding claims, insurance aging, patient balances, and accounts receivable
  • Collect patient portions at the appropriate time
  • Communicate financial policies confidently, respectfully, and consistently
  • Resolve insurance and billing concerns with strong attention to detail and follow-through

 

Scheduling and Practice Flow

 

  • Manage doctor and hygiene schedules to create productive, efficient days without compromising patient care
  • Schedule treatment appropriately according to procedure type, clinical needs, and required time
  • Coordinate implant, comprehensive, and technology-driven appointments effectively
  • Minimize unnecessary openings and last-minute disruptions
  • Maintain reliable confirmation and patient communication systems
  • Fill cancellations and openings proactively
  • Manage recall and continuing-care scheduling
  • Follow up with overdue, inactive, and unscheduled patients
  • Accommodate emergency patients and same-day treatment when appropriate
  • Communicate continuously with the clinical team to keep the day running smoothly

 

Open Dental and Technology

 

  • Maintain a strong working knowledge of Open Dental
  • Keep patient information, insurance details, treatment plans, appointments, clinical communications, notes, and financial records accurate and current
  • Use Open Dental reports and tools to monitor scheduling, treatment acceptance, insurance, accounts receivable, recall, and overall practice performance
  • Maintain organized digital systems and consistent front-office workflows
  • Learn and confidently communicate the benefits of the practice’s modern dental technology
  • Help patients understand how technology can make their care more comfortable, efficient, predictable, and convenient
  • Be comfortable learning new systems and incorporating technology into daily operations

 

Office Leadership and Operations

 

  • Oversee daily front-office operations
  • Establish, document, and maintain efficient systems and workflows
  • Promote clear communication among the front office, assistants, hygienists, and doctors
  • Train, support, and guide front-office team members
  • Hold team members accountable to established systems, responsibilities, and expectations
  • Identify concerns early, develop solutions, and follow through to completion
  • Lead with professionalism, consistency, and a positive attitude
  • Help maintain an organized, supportive, and team-oriented work environment
  • Monitor key practice metrics and identify opportunities to improve scheduling, collections, case acceptance, patient retention, and overall performance
  • Protect patient privacy and ensure compliance with office policies and applicable regulations
  • Support the doctors in maintaining the personal, high-quality experience patients expect from a privately owned practice

 

Qualifications

 

  • Previous dental front-office experience is required
  • Dental office management or treatment coordinator experience is strongly preferred
  • Experience with Open Dental is strongly preferred
  • Strong knowledge of dental terminology, procedures, treatment plans, and insurance
  • Experience verifying dental benefits and explaining coverage to patients
  • Experience presenting treatment plans and discussing financial arrangements
  • Excellent scheduling, organizational, and time-management skills
  • Strong communication and interpersonal skills
  • Comfortable discussing treatment costs and collecting patient balances
  • Professional and confident when handling sensitive or difficult conversations
  • Strong attention to detail and consistent follow-through
  • Able to prioritize and manage multiple responsibilities in a busy dental practice
  • Comfortable working with modern technology and learning new systems
  • Reliable, accountable, proactive, and willing to take full ownership of the position
