Key Responsibilities
Patient Experience & Communication
- Greet and check in/check out patients in a professional and friendly manner
- Answer incoming calls, respond to inquiries, and manage office communication
- Provide clear explanations of treatment plans, financial options, and next steps
- Maintain a high level of customer service and patient rapport
Scheduling & Office Flow
- Manage and optimize the daily schedule to maximize productivity
- Schedule appointments strategically based on treatment needs and provider availability
- Fill open time slots and maintain a productive, well-balanced schedule
- Confirm upcoming appointments and manage cancellations/no-shows
Insurance & Financial Coordination
- Verify insurance eligibility and benefits
- Prepare and present treatment estimates
- Submit and track insurance pre-authorizations and claims
- Follow up on pending insurance approvals and update patients accordingly
- Collect co-pays, balances, and payments at time of service
Administrative & Operational Duties
- Maintain accurate patient records in practice management software (e.g., Dentrix Ascend)
- Send statements and manage patient accounts receivable
- Coordinate communication between front and back office teams
- Ensure compliance with office policies and confidentiality standards
Qualifications
- Previous dental front office experience preferred
- Familiarity with dental insurance and billing processes
- Strong organizational and multitasking skills
- Excellent communication and interpersonal skills
- Ability to work efficiently in a team-oriented environment
- Experience with Dentrix Ascend (preferred but not required)
