Who We're Looking For
We are seeking a highly organized and motivated Dental Receptionist – Scheduling Coordinator to join our team. This is a non-patient-facing position focused on maintaining a productive hygiene schedule through proactive outbound calling, appointment confirmations, and schedule optimization. The ideal candidate is personable on the phone, goal-oriented, and thrives in a fast-paced dental environment.
Schedule
Full-Time – 40 Hours per Week
- Monday: 7:00 AM – 3:00 PM
- Tuesday: 7:00 AM – 3:00 PM
- Wednesday: 7:00 AM – 3:00 PM
- Thursday: 11:00 AM – 7:00 PM
- Friday: 7:00 AM – 3:00 PM
Primary Responsibilities
Outbound Calling (Top Priority)
- Make a minimum of 50 outbound calls per day.
- Contact patients due for hygiene appointments.
- Fill open hygiene appointments and minimize schedule gaps.
- Maintain an organized call list and follow-up system.
- Reactivate overdue patients and encourage routine preventive care.
Appointment Confirmation
- Confirm upcoming appointments by phone, text, or other communication platforms.
- Reduce last-minute cancellations and no-shows.
- Reschedule patients promptly when necessary.
- Ensure appointment details are accurate and up to date.
Schedule Management
- Monitor hygiene schedules throughout the day.
- Fill cancellations as quickly as possible.
- Optimize provider productivity by maintaining full schedules.
- Coordinate with the front office team regarding scheduling needs.
Patient Communication
- Provide exceptional customer service over the phone.
- Answer scheduling-related questions professionally.
- Document all patient communications accurately in the practice management software.
