Experienced Dental Front Desk / Treatment Coordinator
About Our Practice
We are a private, comprehensive dental practice focused on providing highly personalized, thoughtful, and exceptional patient care.
We are seeking an experienced Dental Front Desk / Treatment Coordinator who is confident managing a busy dental office and understands that excellent front-office care is an essential part of the overall patient experience.
This position is ideal for someone who has strong Dentrix experience and is comfortable coordinating complex periodontal, oral surgery, implant, and restorative treatment plans.
Key Responsibilities

Welcome and care for patients in a warm, professional, and personalized manner

Manage incoming calls, patient messages, and day-to-day front-office communications

Schedule and coordinate routine and complex dental appointments
-
Coordinate multi-step treatment plans and ensure patients are scheduled in the appropriate sequence
-
Schedule periodontal procedures, oral surgery, extractions, bone grafting, implant procedures, and other surgical treatment
-
Coordinate treatment involving multiple providers and specialists
-
Understand periodontal and oral surgery treatment plans well enough to schedule procedures accurately
-
Review treatment plans with patients and help them understand the recommended sequence of care
-
Coordinate longer or complex appointments, including surgical and restorative appointments
-
Manage doctor schedules and ensure appropriate appointment lengths are reserved
-
Handle cancellations, rescheduling, waitlists, and appointment confirmations
-
Assist with treatment acceptance and patient follow-up
-
Discuss treatment fees and financial arrangements professionally and confidently
-
Verify insurance benefits and assist with pre-authorizations and insurance claims
-
Collect and post patient payments accurately
-
Maintain accurate patient records and financial information in Dentrix
-
Communicate effectively with doctors, hygienists, assistants, specialists, laboratories, and patients

Follow up with patients regarding recommended treatment and pending appointments

Help maintain an organized, efficient, and polished front office
Required Experience
The ideal candidate must have:

Strong hands-on experience with Dentrix
-
Previous dental front-office experience
-
Experience coordinating and scheduling periodontal treatment
-
Experience coordinating and scheduling oral surgery procedures
-
Understanding of dental treatment plans and sequencing
-
Experience scheduling extractions, bone grafting, implants, periodontal surgery, and other complex procedures
-
Ability to understand clinical terminology and communicate treatment information accurately to patients
-
Experience discussing treatment fees and financial arrangements
-
Strong knowledge of dental insurance and PPO plans
-
Excellent phone and patient communication skills

Who We Are Looking For
We are looking for someone who can hit the ground running.
This is not an entry-level receptionist position. The ideal candidate understands the difference between simply putting an appointment on the schedule and properly coordinating a patient's treatment.
You should be able to look at a periodontal or oral surgery treatment plan, understand what procedures are being recommended, determine the appropriate appointment type and length, and coordinate the patient's visits accurately.
You should also be comfortable communicating with patients about treatment, fees, insurance, and next steps in a calm, confident, and compassionate manner.
